A summary of the job duties for the Administrative Coordinator's position will be to coordinate and process all registration/tuition forms and fees; to coordinate student accounts; public relations and recruitment of new and prospective students; to communicate with all preparatory staff; set-up and maintenance of data bases. This is a part-time position that requires up to 25 hours of work weekly (48 weeks) with a flexible schedule to accommodate extra hours if necessary.
Main duties are:
- Public relations and recruitment of new and prospective students through phone contacts and office walk-ins. Initiate phone calls to and return phone calls from interested persons.
- Set-up and maintain Preparatory Music student database and camp databases.
- Coordinating and processing registration of new and returning students for upcoming semesters. Scheduling of lessons for students.
- Receiving and recording all Preparatory Music semester tuition payments and camp tuition payments.
- Coordinate student accounts including reminders of past-due bills and account status information.
- Responsible for mailing of statements, making tuition deposits, and processing all types of payments.
- Perform administrative and secretarial functions (typing, basic and advanced computer programs, organizing materials for office & copying materials).
- Assist in the distribution of information regarding Preparatory Department programs, mail outs and phone calls.
- Maintain office materials.
- Assist the Director in securing dates on the campus calendar for preparatory events and processing forms electronically.
- Assist in the creation, layout, typing, and disbursement of major pieces (policy manual, department brochure, recital programs, and mass communication e-mails).
- Interface with Preparatory Music faculty.
- Perform other duties as assigned.
- Position requires up to 25 hours of work weekly (48 weeks) with a flexible schedule to accommodate extra hours if necessary.
- Required Qualifications:
- A High School graduate.
- Must be able to pass basic testing skills in computer knowledge, English Language, English spelling and vocabulary, generic typing (50 wpm), Quickbooks Pro and Microsoft Office software products (Microsoft Word, Publisher, Access, Excel, Outlook Quicken).
- Must have general knowledge of and experience in clerical duties and filing.
- Must have general knowledge of electronic layout of publicity pieces.
- Accounting skills, spreadsheet skills, business experience.
- Personality suitable for communication with children of all ages and their parents along with all levels of university employees.
- Ability to amicably handle conflicts.
- A flexible schedule to accommodate extra hours if necessary.
- Preferred Qualifications:
- Some college, experience in the field of music would be extremely helpful.
