News About Your Colleagues

Jean-Paul Audas, jaudas@ou.edu, has accepted the position of Assistant Vice President for University Development at the University of Oklahoma. JP reports that after seven years in admissions and recruitment, "I decided to try a new area of administration.  I miss working closely with prospective students, but have enjoyed getting the opportunity to work closely with highly successful and generous alumni members." JP's successor in admissions is Karen Renfroe, krenfroe@ou.edu.

Cliff Gillespie, cgillesp@mtsu.edu, has retired as associate vice-president for enrollment management at Middle Tennessee State University (MTSU), though he will stay on for a few months as special assistant to MTSU's new interim president. Many know Cliff as "the Dean" of registrars after more than 30 years of work in admissions and records. He holds a B.S from MTSU in Social Science Education; M.Ed. from MTSU in Educational Administration & Supervision; Ph.D. from George Peabody College of Vanderbilt in Higher Education Administration and has completed the Management Development Program at Harvard University, Graduate School of Education in 1995. Dr. Gillespie was awarded AACRAO's Distinguished Service Award at the 2000 annual meeting in New Orleans and has been recognized in similar ways by Tennessee ACRAO and Southern ACRAO in which he also held numerous leadership positions. In a career begun as a student worker in the Registrar's Office at MTSU, he has held positions as Supervisor of Records, Assistant Director then Director of Records, Dean of Admissions and Records, and Dean of Admissions, Records and Information Systems prior to his present position of Associate Vice President for Enrollment Management. Cliff has served AACRAO in many ways, most recently as Interassociation Representative to the National Collegiate Athletic Association (NCAA) for the last five years. He was Chair of the Annual Meeting Evaluation Committee in 1991, and Chairman of Nashville Local Arrangements Committee for the 1988 annual meeting. Cliff was a member of the Executive Committee, from 1983-86, serving as the elected Secretary-Treasurer, and Chairman of the Budget Committee. From 1981-83, he was the Interassociational Representative to the National Center for Higher Education Management Systems (NCHEMS). Best wishes from all your colleagues, Cliff.

Rachel Paquette, Rpaquette@mail.public-health.uiowa.edu, is now Graduate Student Coordinator in the Department of Occupational and Environmental Health at University of Iowa's College of Public Health. Rachel handles all student services including admissions, departmental training grants, registration, student records and alumni relations.

University of Wisconsin-Stout: Jeffrey Kirschling has been appointed as registrar at the to succeed Charles Kell who retired. Jeff came to UW-Stout in 1997 as an assistant registrar after having spent five years at Viterbo University as associate registrar. He holds degrees from UW-Eau Claire and UW-La Crosse. At present he chairs WACRAO's ad hoc Evaluation and Assessment Committee.

University of Wisconsin-Whitewater: James M. Stewart, registrar since 1996, has announced his retirement next spring. After retiring from the Army in 1979, he joined UW-Whitewater as an assistant registrar in 1980. In the early 80s Jim took a leave of absence to make a successful run for the Wisconsin state Assembly where he served one term. He has been active in WACRAO during his years at Whitewater, having served as legislative liaison in 1990-92, and is a veteran member of the Whitewater School Board.

In memoriam

Maxine Sullivan, long-time registrar at the University of Chicago, passed away November 15th. Andrew Hannah, a-hannah@uchicago.edu, Acting University Registrar, reported that Maxine, until early this year the University Registrar and Director of Student Information Systems, died unexpectedly, apparently of a stroke. "She had in September undergone cancer surgery but recovered with remarkable swiftness. She had been able to resume her social activities in full. Maxine was Registrar (either with that title, or acting, or de facto) for more than 30 of the 43 years she was at the University of Chicago. Her signature appears on more than 40% of all the diplomas conferred by the University of Chicago in it's history. The achievements that she could [and] did claim included developing and running perhaps the first university-wide student information system to be administered exclusively within a registrar's office; developing the concept of security-paper for transcripts; working with the Big 10 registrars to establish the annual American Association of Universities registrars conference in Florida. What she would not claim, but certainly could have with absolute justification, was to have been a mentor, guide, role-model, godmother, and occasional nemesis, too, for many of us. The examples she set, agree or disagree, were that excellence in this profession is evidenced by the perfection with which we do our jobs, and that tenure goes hand in hand with talent and innovativeness -- that this is not a transient occupation. I can honestly say that she was the 'best and wisest' representative of our profession that I have ever known." Maxine is survived by a son, Martin, and a daughter, Sue Penciak, and was predeceased by another daughter, Lea Roberts. She leaves many grandchildren and not a few great-grandchildren. The Chicago Tribune also published her obituary.

Nominations and Elections Committee Report

The 2000-2001 Nominations and Elections Committee has completed deliberations and has selected the following slate of officers to be proposed to the membership at the annual meeting in Seattle:

Name Changes

Two of our colleague institutions have recently announced name changes for the coming year. Beaver College (Glenside PA) announced that it will change its name to Arcadia University, a move that university officials hope will reverse the trend of declining enrollment they attributed to the old name. The process of renaming the college began last year, when officials started surveying 22,000 students, alumni, and others in the community for suggestions on a new name. The officials chose Arcadia from among some 400 recommendations. The new name refers to the ancient Greek region, "a place of rustic contentment ... where dialogue and free expression were encouraged" -- a model for the university. College officials said the old name was hurting the institution's image. Its web site was frequently blocked by Internet filters designed to thwart access to sexually explicit material. The college's own research shows that it appealed to 30 percent fewer students just because of the name. The name change will take effect July 16, 2001.

On January 1, 2001, 30-year old Regents College, one of the better known and older institutions offering only distance-learning courses, will become Excelsior College (excelsior is Latin for "ever upward" and is the state motto of New York). C. Wayne Williams, the college's president, says the change is part of an effort to sever the college's identification with the New York Board of Regents, which founded the virtual institution but no longer has any role in its administration. The Board of Regents not only founded the college but served as the college's governing board until 1998. At that time, college officials created a new board of trustees because they felt that the Board of Regents could not devote enough time to the oversight of the college, according to Mr. Williams.  "We wanted to make clear that we are an independent institution," he says. "It is something we wanted to do, and something the Regents wanted us to do as well." Regents has introduced a line of souvenirs, including class rings, T-shirts, and mugs. The college also developed a Latin honors system a few years ago, so students can graduate cum laude, magna cum laude, or summa cum laude. Caught in the Surf: Websites You Can Use

Financial Aid: Wondering about how to afford college for your own kids, or looking for some web resources to recommend to your prospective student pool?  Here are two excellent resources. Wiredscholar.com and Finaid.org (with its scholarship search engine at http://www.fastweb.com) have large searchable databases for college-bound students and their parents. Information on specific programs, on application instructions, and on strategies for arranging your college finances are all here. You can even get e-mails when new scholarships for which a student might qualify are added to the database.

Graduation Rate Survey: Did you see the Association for Institutional Research alert update at http://www.fsu.edu/~air/Alert2u1.htm? It is an excellent summary of the current status and requirements of the GRS legislation.  Don't forget to also check the AACRAO information at http://www.aacrao.org/govrel/GRS11-00.pdf.

NCES New Reports:

The publication, "Projections of Education Statistics to 2010" has now been released in an easy-to-use web version which includes excel files for all tables. The publication provides projections for key education statistics including statistics on enrollment, graduates, teachers, and expenditures in elementary and secondary schools, and in institutions of higher education. The tables, figures, and text contain data on enrollment, teachers, graduates, and expenditures for the past 14 years and projections to the year 2010. To use this new web version please visit: http://nces.ed.gov/pubs2000/projections/.

The Education Statistics Quarterly, Fall 2000 Issue offers an accessible, convenient overview of all NCES products released in a given quarter. Each issue includes: short publications (those less than 15 pages in length) in their entirety, executive summaries of longer publications, descriptive paragraphs of other NCES products, and notices about training and funding opportunities. In addition, each issue includes a featured publication with invited commentary pieces, a note on a current topic from a staff member, and a message from NCES. OPE Agenda: After over 75 discussion sessions, four public hearings, and comments collected from individual, institutions, and an open web site, the Office of Postsecondary Education has released their report on the future role in higher education of the Department of Education. The report is at http://www.ed.gov/offices/OPE/AgenProj/report/ and is organized around five general themes: Theme 1: Access: Ensuring All Students Are Prepared To Go To College And Succeed; Access: Examining the Roles and Responsibilities in Paying for College; Improving Teacher Quality; Integrating Technology And Distance Education Into The Curriculum; and Revitalizing International Education. The report also lists 12 strategies and 38 specific action items for OPE to tackle.

Web Searching: Here's a new tool for searching on the web provided by the Google search engine. Normally, when you search, you go to a search engine site (Yahoo, Google, Alta Vista, Dogpile) type in a keyword and wait for the results to appear.  If you have a relatively recent Web browser -- Netscape or Internet Explorer 4 or later on a PC, Netscape or Internet Explorer 4.5 or later on a Mac -- you can now drag a special link to Google onto your browser's links toolbar (IE) or personal toolbar (Netscape) and search Google simply by highlighting a word or phrase on any Web page and clicking on the link. Say you are at a Web page that talks about Abraham Lincoln and that Also mentions Lincoln's second inaugural address.  Highlight the words "Lincoln's second inaugural" on that page, click on the special Google Search link on your toolbar, and Google will automatically search for its database of over 1 billion Web pages for every page that matches your search term "Lincoln's second inaugural."  You don't have to go to the Google Web site first nor do you have to type in ANY keywords. Google does it all for you automatically.  Just highlight and click.  Best of all, this special link to Google *ISN'T* software.  There is NOTHING for you to download or install.  It is just a BOOKMARK!  All you have to do is drag and drop this bookmark onto your toolbar.  It couldn't be simpler!

Here's what you need to do.  Point your Web browser to http://www.google.com/options/buttons.html and then click on the "Get Your Google Buttons Here" link which is in the blueish box near the bottom of the page.  [Oh, and ignore the warning that "Buttons not available for Internet Explorer 5.5."  I've tried this on a couple of PCs running IE 5.5, including my own, and it works just fine.] This will take you to a page that is specific for your browser and platform. Just follow the on-screen instructions and drag the Google Search link to your toolbar. Google offers three different links you can drag and drop onto your toolbar.  The first, "Google Search," is the one that lets you search for any word or phrase that you highlight.  The second, "Google Scout," is a little like the "related:" command; click on it and Google will show you a list of Web pages similar to the Web page you are currently viewing.  The last, "Google.com," is just a plain old hyperlink to Google; click on it and you are taken to Google's Web site. FERPA Workshops Available Soon

LeRoy Rooker, Director of the U.S. Family Policy Compliance Office (FPCO) and the nation's leading expert on Family Education Rights and Privacy Act compliance, will conduct the upcoming FERPA Workshops in Palo Alto, CA and Tampa, FL. They will be at Stanford University on January 11 and Hillsborough Community College on February 8.

Mr. Rooker will provide guidance and clarification of FERPA regulations, including changes to the law resulting from the 1998 amendments to the Higher Education Act. Recent court rulings and FPCO guidance case studies will also be discussed. A broad range of FERPA issues and topics will be covered in the workshop.

Closing Thought

"The children are the future ..."

In a recent e-mail exchange, examples of our student-to-registrar interactions were shared by our colleagues.

Gloria Hess,  Director of Records at Elizabethtown College, reported on a student who had to call his mother to find out how to spell his middle name so he could complete the diploma application card.

Kathleen Deaver, Student Services Coordinator at San Diego State University, reported a couple of her favorite exchanges:

"Are classes being held today?"
"Yes, why do you ask?"
"Because it's raining."

AND

"What is the first day of class?"
"Monday."
"My class is on Tuesday and Thursday, do I have to come on Monday?"

And here at Washington and Lee, I had this e-mail:

"I have a bit of a problem. I am going to be a senior this year. Apparently, during spring term, rising seniors were supposed to fill out some kind of application for their degree. For some reason -- most likely as a result of my own stupidity -- I completed this form. (emphasis added) I was wondering how I might remedy this situation. I hope I haven't caused a huge problem."
