ALACRAO EXECUTIVE COMMITTEE MEETING
JEFFERSON STATE COMMUNITY COLLEGE
NOVEMBER 12, 1999
The following members were present:Kathy Benson, Danny Brooks, John Fletcher, Bruce Foster, David Johnson, John King, Michelle Moore, Valerie Samuel, Jeff Shelley, Alesia Stuart, and Robin Wyatt.
I.Call to order and approval of minutes.John King called the meeting to order.The minutes from the June 25, 1999 meeting were distributed.John King made the motion to approve the minutes.Robin Wyatt seconded the motion and the minutes were approved unanimously.
II.Secretary/Treasurer's Financial Report.Kathy Benson reported that as of November 12, 1999, the organization had $10,748.96.All bills from the conference have been paid.She also reported that annual dues invoices have been mailed.The deadline for paying dues is January 14, 2000.
III.Evaluation of 1999 Annual Meeting.John King presented evaluations of the 1999 Annual Conference .The overall evaluation of the conference was good.Robert Holmes was an excellent keynote speaker.It was recommended that more pre-conference information be sent for the 2000 Annual Conference.
A request that the Admissions Forum be divided into two sessions, i.e., one session for two-year schools and one session for four-year schools.After much discussion, it was decided to continue with one Admissions Forum session to include both two-year and four-year schools.
IV.Discussion
of the 2000 Annual Meeting
The Executive Committee and the 2000 Annual Conference Program Committee Chairs will meet at the Grand Hotel on February 18, 2000.
John Fletcher mentioned the new format that SACRAO will be using for its annual conference.SACRAO now has a session coordinator and the presenters will each provide a one-page abstract of his presentation.After much discussion, John recommended that we continue using a session moderator and recorder until we see how the new format works at SACRAO.
Robin Wyatt reported that the theme for the Annual Conference was approved at the Program Committee meeting held prior to the Executive Meeting.The theme for the 2000 Annual Conference is "ALACRAO - Clearly Pointing in the Right Direction."Session topics were also discussed at the Program Committee meeting and will be decided upon by the Program Chairs and Vice Presidents.
Alesia Stuart reported that room rates for the Grand Hotel are $159 per night.A trip to Biloxi is being considered as a special event.A $10 nonrefundable fee will be charged to those who wish to make this trip.Danny Brooks and/or Bruce Foster expressed interest in planning a golf tournament.Reservations for the conference may be booked now.A give-away project will be discussed at the February planning meeting.
Since this conference is so very expensive and in order to try to keep the costs at a minimum for the members, Danny Brooks will solicit the vendors for more monetary donations.
Robin Wyatt made the motion that the conference registration fee be increased and that an amount be decided upon at the February meeting.Danny Brooks seconded the motion which passed unanimously.
Bruce Foster will provide budgets from the 98 Conference which was held at the Perdido Hilton and the 94 Conference which was held at the Grand Hotel for review at the February meeting.
V.Old Business
Drive-In Workshops - Danny Brooks - Danny reported that there will be two workshops during the spring semester.Reid State Technical College will host one of the workshops and Birmingham Southern College will host the other one.Susan Willard will poll support staff for topic suggestions.Suggestions may be emailed to Birmingham Southern College.Dates for the workshops will be posted on email before Christmas.
Newsletter Updates - March 1, 2000 is the deadline for Spring Newsletter articles.Danny Brooks distributed a handout listing newsletter responsibilities.
College Day Books - Michelle Moore reported that the sale of the College Day Books had generated a $632 profit for ALACRAO.There are plans to place an order form on the WEB.Also, she plans to send program updates by email.District Coordinators and Co-coordinators will meet earlier this year probably around mid-February.They will include school counselors in their meetings.
Jeff Shelley will post changes in the College Day Book to the Web page.
SACRAO and/or MOSIS bid
- Danny Brooks opened discussion on this topic.The
Perdido Beach Hilton and the Winfrey Hotel in Birmingham were mentioned
as possible conference locations.John
Fletcher made the motion that Alabama consider submitting a bid for SACRAO
2003 with John King naming a committee to determine the location.Robin
Wyatt seconded the motion.The motion
passed with Danny Brooks abstaining.John
Fletcher will write the proposal.Alesia
Stuart, Bruce Foster, and Robin Wyatt will work with the Committee.This
committee must be prepared to present the proposal on Saturday, February
5, 2000 at SACRAO 2000 in Memphis.
ALACRAO Web Page - Jeff Shelley is the ALACRAO Web Master and an ex-officio member of the Executive Committee.Jeff requested that the Executive Committee give him our views about what we would like to see on the web page.It was suggested that the following items be added to the web page.Membership directory, annual conference registration form, recorder information, Executive Committee minutes (current year and two previous years), and the Newsletter.Robin Wyatt made the motion that the Web Master correspond with the Secretary/Treasurer to receive updates for the membership directory posted on the ALACRAO homepage.The motion was seconded by John King and passed unanimously.
VI.New Business
February Meeting Date
The Executive Committee and the 2000 Annual Conference Program Committee Chairs will meet at the Grand Hotel on February 18, 2000.
Salary Survey
Michelle Moore presented a request from George Hill, Auburn University at Montgomery, regarding a salary survey that he would like to send to institutional members of ALACRAO during Spring 2000.Danny Brooks made the motion that ALACRAO support this survey and that a cover letter be included with the survey that states that the survey has been approved by the Executive Committee.The motion was seconded by Valerie Samuel and was approved unanimously.
2002 Site Contract
John King reported that Billy
Cannon has been in contact with the White Sands Holiday Inn in Gulf Shores
for the 2002 Annual Conference.The
Holiday Inn requires a $500 deposit to block the 90/80 rooms needed for
the conference.John King made
the motion that the Executive Committee approve paying the $500 deposit.Danny
Brooks seconded the motion and it was approved unanimously.
Requests for Membership
Kathy Benson presented requests for institutional membership from three colleges.
1.Air University, Maxwell AFB, Alabama
2.Marietta College-Mid Atlantic Region, Newark Delaware
3.Concordia College, Selma, Alabama
Robin Wyatt made the motion to accept the two in-state schools as members and to deny membership to the out-of-state school.The motion was seconded by Danny Brooks and passed unanimously.Kathy Benson will send dues invoices to the in-state schools.
Membership Dues Increase
Robin Wyatt and Danny Brooks will work together to determine a dues increase amount and to amend the by-laws.Robin will present a proposal for a dues increase at the February 2000 planning meeting at the Grand Hotel.
